How to Use Email to Reduce Churn: Sequences That Work

9 MINUTES READ

Summary

A practical breakdown of the email sequences that reduce SaaS churn, from early warning signals to win-back campaigns.

Churn is usually predictable, if you're watching

Most churn doesn't happen suddenly. It follows a pattern: decreased logins → fewer API calls → silence → cancellation. Email sequences, triggered by these behavioral signals, can interrupt that pattern before the user is mentally gone.

The three churn windows

1. Day 1–14: Activation churn

Users who never activate are the most likely to churn. Identify your activation event (first email sent, first domain verified, first API call) and build a sequence around it.

  • Day 2: "One thing to try today": single CTA to the activation step
  • Day 5: "Here's how [similar company] got started": social proof
  • Day 10: "Need help?": personal outreach from a founder

2. Day 30–90: Engagement churn

Users who activated but stopped engaging. These are often users who got distracted or didn't see enough value.

  • Trigger: No login in 14 days
  • Email: Surface a specific piece of value they haven't discovered yet
  • Follow-up: Offer a 1:1 call or product walkthrough

3. Day 90+: Win-back

Users who've fully disengaged. Low-probability but still worth a single, honest outreach.

  • Don't oversell. Acknowledge the silence.
  • Offer something concrete: a feature they requested, a pricing adjustment, a migration path.
  • One email. If no response, let them go.

What to measure

Track churn rate segmented by whether a user received the at-risk sequence vs. didn't. This lets you A/B test the sequences themselves over time.

Building this with Reloop

Use Reloop's webhook events (login events, API call events from your backend) to trigger sequences. When you detect the inactivity signal, enqueue the appropriate email sequence via the Reloop API.
